Privacy statement: Parks & Wildlife Finland’s contact registers

External parties are engaged or liaised with in many Metsähallitus activities, often on a continuous basis.

For example, engagement is a key part of planning the management and use of protected areas and drafting regulations for conservation areas. It may also be associated with different kinds of development, cooperation and other projects. In these forms of engagement, contact details are normally needed for a fixed term only.

Parks & Wildlife Finland also engages in ongoing, well-established cooperation and communication with many local stakeholders and bodies. While the cooperative bodies in these situations are often permanent in nature, their specific contact persons may vary.

In connection with individual events and functions, Parks & Wildlife Finland quite often also needs to communicate and liaise with stakeholders on a temporary basis, for which their contact information is required.

Data collection

The data for the contact information register is normally obtained from the stakeholders or data subjects themselves. The data may also be obtained from other partners.

The registered data includes the name of the stakeholder and their contact person and one or several of the following: the contact person’s email address, telephone number, postal address, and job title.

Data processing and disclosure

The basis of data processing usually is either carrying out public administrative tasks or other tasks assigned to Parks & Wildlife Finland in the Act on Metsähallitus or nature conservation regulations, or on the general interests of Metsähallitus.

Parks & Wildlife Finland personnel responsible for gathering, maintaining, deleting and using the data are all individuals who require the data for their work and who have been granted the rights to use the data.

No data is processed outside of the EU/EEA area or disclosed to third countries.

Data protection

The data in the contact information registers is protected in compliance with the best information security practice, current legislation and regulations, and supplementary instructions issued by Metsähallitus.

Data storage

The contact information is processed and stored for the required time period. A large part of data in the registers is needed for a fixed term, typically for one to two years. However, a small proportion of the data in the contact information registers is stored permanently (including bodies with which Metsähallitus engages in ongoing cooperation).

Data subject’s rights

The data subject has the right to access the data held by the controller concerning him or her, the right to request the rectification of inaccurate and incorrect data, and the right to request the restriction of the processing of this data as long as its accuracy is being verified. The data subject also has the right to lodge a complaint with a supervisory authority regarding the actions carried out in the processing of the personal data, as well as the right to exercise their rights as specified in the GDPR and supplementary national legislation.
